We are looking to hire a Client Service Associate who enjoys interacting positively with clients, has the capacity to put our technology and processes to work helping clients achieve their goals, and who is an effective communicator. Strong, meaningful client service is the cornerstone of our business – our Client Service Associate will play a key role in supporting delivery of timely, responsive, efficient, and empathetic interactions with clients. The Role

The Client Service Associate will primarily be responsible for helping the firm take full advantage of the capabilities of our CRM and document management systems—but will also be expected to enthusiastically execute a wide range of tasks that ensure we fulfill client administrative needs. In this capacity, the Service Associate’s job is to operationally support the delivery of wealth management expertise by Griffin Black Advisors to our clients. An ideal candidate would have an excellent work ethic, emphasize accuracy in transactions, and deliver effective service both to clients and to internal teams. A more detailed review of responsibilities includes:


  • Be a proficient user of our key software applications (CRM, Laserfiche, DocuSign, RightSignature, Laser App, Calendly, WordPress) in support of our defined workflow processes
  • Be a power user of the technology and service of our custodial platform provider

Client Support

  • Field and resolve all incoming client requests not specific to personal financial advice
  • Support clients in completing required paperwork
  • Support and encourage clients logging into and using online resources, including the Griffin Black (GBI) client portal

Process & Data management

  •  Own the GBI data definitions and their ongoing maintenance
  • Drive and support consistent use of data definitions by firm employees
  • Help keep GBI records of client information and interactions as up‐to‐date and accurate as possible
  • Understand and help maintain GBI workflow processes

Marketing Communications

  • Occasional social media posting (Facebook, LinkedIn etc.)
  • Minor updates to GBI website
  • Organize and manage client events

Industry Knowledge

  • Be well informed about our company’s approach to financial planning
  • Cursory knowledge of products and services GBI uses
  • Be conversant with legal and regulatory requirements related to client needs and GBI planning recommendations


  • Protect the confidentiality and security of client personal and financial information
  • Solid personal and professional judgment


  • Courteously and cheerfully answer incoming phone calls
  • General office administration – supplies management, office space management
  • Readily accept responsibility for other tasks needed to make the GBI office efficient and hospitable to clients and employees

Client Service Associate Requirements

  • College degree
  • 1+ years of job experience related to customer service (hospitality industry experience a plus)
  • Proficiency in basic business computer and software applications (MS Office applications, Adobe Acrobat…)
  • Outstanding communication skills ‐ both verbal and written
